How much does a live embroidery event cost?

From $5,000 for a staffed local station, plus crew hours and blanks. Here is the arithmetic, not a range.

The direct answer

For a Southern California event, plan from $5,000 for the station base — commercial equipment, thread library, digitizing and sampling your artwork, transport, and a production lead. Crew time bills at $250 per hour per person, counted from load-in to load-out, not just the hours guests see. Blanks (caps, totes, robes, tees) are quoted at current catalog cost. Outside Orange County, Los Angeles, and San Diego, add a flat $900 travel fee — that is the Las Vegas line.

A typical 4-hour local event with one operator therefore prices around $6,750 before blanks: $5,000 base plus seven crew hours (two setup, four open, one teardown) at $250. Add your headcount's worth of blanks and the quote is complete.

What pushes it up

Three things, in order: more crew hours (evening programs and trade-show days bill long arcs), more heads or stations (big crowds need throughput, and throughput is hardware plus people), and richer blanks (structured caps and robes cost multiples of a canvas tote). Stitch density matters too — dense artwork slows every piece, which can force the second head.

What does not change the price

Thread colors, font menus, and small artwork tweaks before digitizing are part of the base. So is the pre-event sample run. You will not find a fee for “design consultation” or a surcharge for picking navy over black.

How to compare vendor quotes

Ask every vendor the same three questions: what does the base include, how are crew hours counted, and are blanks marked up or passed through?
